AI & Automation · Adelaide, SA
Stop doing manually what software can do automatically.
Not AI strategy. Not an AI roadmap. Specific things that answer your phone, reply to customers at 9pm, read the paperwork and put the details where they belong — set up, tested against your real enquiries, and switched off again if they do not earn their keep.
Start with the money
The question is not what AI can do. It is which hour of your week to buy back first.
Most AI conversations start with the technology and never reach a business case. We would rather start at the other end: what happens repeatedly, takes a person, follows a predictable pattern, and costs you either money or customers when it is missed.
Usually the honest answer for an Adelaide small business is one of three things — calls going unanswered, the same customer questions being retyped, or information being copied from a document into a system. Those are the three we start with.
AI Receptionist
Answers when you cannot get to the phone.
If you are on a ladder, under a sink, in a consult or driving, the call goes to voicemail — and most people do not leave one. They call the next business on the list. For a trade or a clinic, a handful of missed calls a week is a serious number by the end of the year.
An AI receptionist picks up, has a normal conversation, works out what the caller wants, captures their name, number and job details, and texts you a summary straight away. Urgent calls get flagged or transferred. Everything else waits until you can breathe.
- Answers every call, including after hours and weekends
- Captures name, number, address and what the job is
- Texts or emails you a summary within seconds
- Books straight into your calendar where that suits
- Flags or transfers genuine emergencies to a real person
- Trained on your services, service area and pricing rules
AI Website Assistant
Answers customer questions 24 hours a day.
Most website questions are the same six questions. Opening hours, service area, do you do this particular thing, how much roughly, how soon can you come, do you take this payment. Answering them one at a time by email is a slow way to lose enquiries to whoever replied first.
A website assistant answers from your actual content — your services, prices, policies and hours — and when the conversation reaches a real enquiry it captures the details and passes them to you. It is trained on what you have written, not on guesswork.
- Trained only on your business content, not the open internet
- Answers instantly, at any hour, in your tone
- Captures the enquiry when the conversation gets serious
- Hands over to a human rather than bluffing an answer
- Shows you what people are actually asking
- Works alongside your enquiry form, not instead of it
Document automation
Paperwork in, structured information out.
Invoices, purchase orders, timesheets, forms, delivery dockets, referral letters. Somebody is reading them and typing the contents into something else. That is the job AI is genuinely, boringly good at.
Extract
Read incoming documents and pull out the fields that matter — dates, amounts, references, names — without a template for every supplier.
Validate
Check the extracted values against your records and flag anything that does not reconcile, rather than silently writing bad data.
File and notify
Store the document where it belongs, update the system of record, and tell the right person it has arrived.
Microsoft Copilot
If you already pay for Microsoft 365, start here.
Copilot sits inside Word, Outlook, Excel and Teams and works on your own documents and email. For a lot of businesses it is the lowest-risk place to start, because the data never leaves the Microsoft tenancy you already trust with your email.
The catch is that Copilot is only as good as how tidy your files and permissions are. If everything lives in one shared drive with no structure, Copilot will surface things to people who should not see them. We fix the underlying permissions first, then turn it on.
- Licensing review — whether Copilot is worth it for your team size
- Permissions and file structure cleaned up before rollout
- Sensitivity and data-access boundaries configured
- Practical training on the handful of uses that actually save time
- Usage reviewed after a month, so you are not paying for shelfware
Being straight with you
What we will tell you not to automate.
AI is confidently wrong sometimes. That is a manageable problem for drafting an email and an unacceptable one for quoting a price, giving clinical or legal advice, or telling a customer something you would be liable for. We design these systems to hand over to a person at exactly those points, and we will say no to the ones that should not be automated at all.
We will also tell you when a process is too messy or too rare to be worth automating yet. Automating a broken process just makes it break faster.
A reasonable first project pays for itself inside a few months and can be switched off without breaking anything else. If we cannot describe your project in those terms, it is the wrong first project.
Questions
Before you ask us.
Is this just a chatbot?
An AI website assistant is a chatbot done properly — trained on your content, honest when it does not know, and built to capture the enquiry rather than trap people in a menu. The AI receptionist is different again: it answers actual phone calls and speaks with the caller.
Will it make things up about my business?
That is the main risk with AI and it is the thing we design against. The assistant answers from your own content rather than general knowledge, and it is set up to say it will get a person rather than invent an answer. We test it against real questions before it goes live and review what it has been asked afterwards.
What does it cost?
There is a setup cost to configure and train it, and an ongoing monthly cost for the service and usage. It varies with call or message volume. We will size it against how many enquiries you actually get so the number is real, and we would rather tell you it is not worth it than sell you something that sits idle.
How long does it take to set up?
An AI website assistant is usually live within a week or two. An AI receptionist takes a little longer because we need to get your services, service area and call handling rules right, and then test it properly before it starts answering customers.
Can it book jobs into my calendar?
Yes, where your calendar or booking system allows it. We will usually start with capture-and-notify, then move to direct booking once you can see it is getting the details right.
Where does my data go?
That depends on the tools involved and it is a fair question to ask. We will tell you which services process your data and where, before you commit. If you have privacy obligations — health, legal, financial — that shapes which options we recommend.
What if it does not work for us?
Then we turn it off. We build these so they can be removed without breaking your phones, your website or your systems. Anything that cannot be unwound is not a good first project.
