Almost every business we meet is already paying for Microsoft 365 and using about a fifth of it — usually the email. The rest is either switched off, misconfigured, or wide open. We fix the setup, tidy the licensing, and make it something your team actually uses.
The usual state of things
Three things we find in almost every tenancy.
Licences nobody is using
Staff who left two years ago, duplicate licences, and people on a plan twice the size of what they need. This is usually the first saving we find, and it often covers the cost of the work.
Sharing set to wide open
Files shared with anyone-with-the-link because it was quicker at the time. Nobody knows what is exposed, because nobody has ever looked.
Security features switched off
Multi-factor authentication not enforced, no conditional access, and audit logging disabled. All included in what you already pay for.
Business email
Email that arrives, and does not get spoofed.
Email is the one system a business genuinely cannot operate without for an afternoon. It is also the most common way businesses get defrauded, usually through someone impersonating your domain to your own customers.
The fix is unglamorous and mostly invisible: authentication records set up correctly so that mail claiming to be from you can be verified, and mail that is not from you gets rejected.

Teams, SharePoint & OneDrive
Where your files should live, and who should see them.
The most common file setup we inherit is a single shared drive everyone can see, plus important documents scattered across individual OneDrives and a few in someone's email. It works until somebody leaves, or until you want to switch on Copilot and discover it will happily surface the payroll folder.

Licensing
Paying for what you use, not what a reseller recommended.
Microsoft licensing is deliberately complicated and most businesses are on the wrong mix. Some staff need everything, most need very little, and some only need email. We review the whole tenancy against what people actually do and right-size it.
The licensing review frequently pays for itself in the first year. If it does not, we will tell you that and the review costs you a conversation.

Questions
Before you ask us.
Will migrating email cause downtime?
Done properly, no. We migrate mail in the background, keep both systems receiving during the changeover, and cut the domain over at a quiet time. Staff usually notice nothing beyond re-entering their password once.
Does Microsoft back up my data?
Not in the way most people assume. Microsoft guarantees the service is available, not that your data is recoverable after an accidental deletion, a departing employee's cleanup or a ransomware event beyond their retention window. A separate backup of Microsoft 365 is worth having, and it is inexpensive.
We are on Google Workspace. Should we move?
Not necessarily. Google Workspace is a good product and moving costs money and disruption. Microsoft 365 usually makes more sense if you are heavy on Excel, need Teams for a larger team, want Copilot, or have compliance obligations that suit Microsoft's tooling. We will give you a straight answer for your situation.
How many staff do we need before this is worth it?
There is no minimum. Even two people benefit from proper email authentication and controlled file sharing. The licensing review becomes more valuable as the team grows.
Can you just fix our existing setup rather than rebuild it?
Usually, and that is normally the better option. We audit what is there, list what is wrong in priority order, and fix it. A rebuild is a last resort.
What is Microsoft 365 Business Premium and do we need it?
It adds device management and the more capable security tooling on top of the standard plan. For a business with staff laptops holding client data, it is usually worth the difference. For a two-person business with everything in the browser, often not.
