AI & Automation · Adelaide, SA

The busywork your team should not be doing.

Enquiry comes in, gets typed into a spreadsheet, someone remembers to follow up, the quote goes out, and then it goes quiet. Every step in that sentence is a place where money leaks. We connect the steps so they happen whether anyone remembers or not.

Nothing gets forgotten Works with your existing tools Set up once

The pattern

Almost every leak is a handover between two systems.

Your website does not talk to your inbox. Your inbox does not talk to your job software. Your job software does not talk to your accounting. So a person becomes the integration — copying, pasting, remembering. That person is expensive, and they have worse recall than a computer.

Automation is not about replacing that person. It is about removing the part of their job that is transcription, so the part that needs judgement gets done properly.

Lead & quote automation

From enquiry to follow-up, without anyone remembering.

This is where the fastest return usually is, because the cost of a forgotten follow-up is a whole job rather than a few minutes.

  • One inbox for enquiries from every channel
  • Instant acknowledgement to the customer, so you are the fast one
  • Automatic reminders at sensible intervals after a quote
  • Notification to a human when a lead is going cold
  • Reporting on where your enquiries actually come from
  • No lead sitting unanswered because someone was on annual leave

01

Enquiry arrives

From your website, a phone call, Facebook or a form. It lands in one place instead of four.

02

Qualified and routed

Sorted by service, location or urgency, and sent to the right person with the detail they need to respond.

03

Logged in the CRM

Recorded automatically, so your pipeline reflects reality rather than whoever updated it last.

04

Followed up

Quote sent, then a reminder sequence runs. If it goes quiet, the salesperson gets told before it goes cold.

Bookings, reminders & reviews

The three sequences most businesses should already have.

Booking automation

Customer books, gets an immediate confirmation, then a reminder before the appointment. No-shows drop, and nobody is ringing to confirm.

Job and appointment reminders

SMS or email reminders timed to your business, with rescheduling handled without a phone call.

Review automation

Job completed, and a review request goes out at the right moment. Reviews are the single biggest lever on local search, and asking manually never survives a busy month.

Post-job follow-up

A check-in after the work, which catches problems while they are still fixable and generates repeat business.

Recurring service reminders

Annual services, warranty checks, renewals. Revenue you have already earned that you are currently not asking for.

Internal handovers

When a job moves stage, the next person gets told with the context, instead of finding out at a meeting.

CRM & integrations

Making the systems you already pay for talk to each other.

You probably do not need new software. You more likely need the four things you already have to stop being four separate islands. We connect what is there before recommending anything new, and if you genuinely do need a CRM we will help pick one that fits how you work rather than the one with the best ads.

  • CRM selection and setup, sized to your team
  • Website forms into the CRM automatically
  • Email and calendar synced, so history lives with the customer
  • Job management, accounting and CRM connected
  • Data cleaned and de-duplicated before migration
  • Staff trained on the one workflow that matters most

Data & Power BI

Knowing the numbers without building a spreadsheet every month.

Most owners we meet can tell you last month's revenue and almost nothing else, because getting any other number means an evening in Excel. Once the systems are connected, the reporting is close to free.

  • One dashboard pulling from your real systems
  • Enquiries, conversion rate and job value, updated automatically
  • Where leads come from and which sources are worth the spend
  • Aged debtors and cash position at a glance
  • Team and job profitability, if the data supports it honestly
  • Reports that arrive on a schedule, without anyone assembling them

Questions

Before you ask us.

Do I need to replace my current software?

Usually not. We start by connecting what you already have, because that is cheaper, faster and less disruptive than a migration. We only recommend replacing something when it genuinely cannot do the job.

What tools do you work with?

The common small business stack — Microsoft 365, Google Workspace, Xero, MYOB, Shopify, job management and booking platforms, and the mainstream CRMs. If a tool has an API, it can usually be connected. If it does not, we will tell you that up front rather than build something fragile.

How long before it pays for itself?

The ones we recommend first are chosen precisely because the answer is short — typically a few months. Quote follow-up and review automation are usually the fastest, because both directly produce revenue rather than just saving time.

What happens when something changes in my business?

Automations need occasional maintenance, the same as anything else. We document what was built and how to change it, and we can maintain it for you if you would rather not.

Is this the same as AI?

No, though they work well together. This is workflow automation — deterministic rules that do the same thing every time, which is what you want for anything involving money or commitments. AI is better suited to conversation and reading unstructured documents.

Can you automate something we do that is quite unusual?

Often yes, but we will look at the process first. If it is inconsistent or undocumented, the honest first step is tidying the process rather than automating the mess.

Next step

Tell us what you need.

You do not need to know what to call it. Describe the problem in your own words and we will tell you what it takes to fix — and what it costs — before you commit to anything.
